We are looking for an “Executive Secretary” with minimum 3-5 years of UAE experience in supporting a high-level executive.
Key Responsibilities:
- Manage the executive’s calendar, including scheduling meetings, appointments, and travel.
- Act as the point of contact between the executive and internal/externals.
- Prepare correspondence, reports, presentations, and other documents as needed.
- Handle confidential documents ensuring they remain secure.
- Assist with personal tasks and errands as required by the executive.
- Organize meetings, including agenda preparation, minute-taking, and follow-up.
- Coordinate travel arrangements and itineraries (domestic & international).
- Screen and prioritize emails, calls, and requests for the executive’s attention.
- Support with event planning, logistics, and other administrative tasks.
Requirements/Qualifications:
- Bachelor’s degree in business administration or any related field.
- Proven experience as a Personal Assistant, Executive Secretary, or in a similar administrative role.
- Excellent organizational and multitasking skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office (Outlook, Word, Excel) and other productivity tools.
- Ability to work under pressure and meet tight deadlines.
- High level of discretion, integrity, and professionalism.
- Flexible, reliable, and proactive in anticipating needs.
